Terms of Sale & Privacy Notice

These terms apply to every quote, order, and purchase from HD Laser Engraving Studio (“HD Laser,” “we,” “us”). By submitting a quote request, approving a proof, or paying for an order, you (“you,” the “customer”) agree to them on behalf of yourself and the business you represent.

1. Orders, artwork, and proofs

Every order starts with a free digital proof. Nothing is made until you approve it in writing (email or text counts). Once you approve, you are confirming the spelling, artwork, colors, sizes, quantities, and placement shown in the proof. Errors that match the approved proof are not our mistake and are not grounds for a refund or remake.

You confirm that you own, or have permission to use, every logo, image, name, and piece of text you give us, and that our reproducing it will not infringe anyone’s rights. You will cover any claim against us that comes from artwork you supplied.

Engraving and printing on real products has natural variation. Slight differences in shade, placement (up to about 1/8 inch), and finish between items, and between the proof and the finished product, are normal and are not defects.

2. Payment, cancellations, and refunds

The only exception: if a finished item does not match the proof you approved, or arrives damaged or unusable, tell us within 7 days of pickup or delivery with photos. We will remake or replace the affected items at no charge, or, if we can’t, refund the price of those items. That is your sole remedy. This does not limit any warranty rights that California law says can’t be waived.

Prices are quoted in US dollars and exclude sales tax and shipping unless stated. California sales tax is charged on items we supply; when you bring your own item, you pay for the work only and no sales tax is added. Quotes are good for 30 days. Production time starts when we have your approved proof and payment.

3. After the sale: use, resale, and liability

Once an order is picked up or delivered, it’s yours. You are responsible for how the products are used, stored, cleaned, handled, given away, or resold, and for following any laws that apply to your resale (for example, pricing, labeling, food-service, and sales-tax rules). If you resell items to your own customers, you are the seller in that transaction, not HD Laser, and you will handle their questions, complaints, and returns.

To the fullest extent permitted by California law, HD Laser is not liable for any indirect, incidental, special, consequential, or punitive damages, lost profits or revenue, or any claim by you or a third party arising from the use, misuse, or resale of the products after the sale. Our total liability for any order is limited to the amount you paid us for that order.

Nothing in these terms limits liability that cannot be limited under California law, including liability for fraud, willful injury, or violation of law (Cal. Civ. Code §1668), or any implied warranty that applies to a consumer purchase and cannot be disclaimed.

4. Case studies and marketing permission

You give HD Laser a perpetual, worldwide, royalty-free permission to use your business name, logo, and trademarks; photos and video of the products we made for you; general details of your order (such as what was made and roughly how many); and any review, quote, or results you share with us, in our marketing and company materials. That includes our website, social media, email, printed materials, sales presentations, and case studies.

You confirm you have the authority to give this permission for your business. We will only use an individual person’s name, voice, photo, or likeness in advertising with that person’s consent, as California Civil Code §3344 requires. If you would like us to stop featuring your business in new materials, email contact@hdlaser.net; we’ll honor that within 30 days for anything created after your request, though materials already printed or published may remain.

5. Staying in touch

When you request a quote or place an order, you give us your name, email, and phone number and agree that HD Laser may use them to contact you about your order and about our products, offers, events, and news, by email and by phone. Every marketing email includes an unsubscribe link, and you can opt out at any time by emailing contact@hdlaser.net. Opting out of marketing does not affect messages about an order in progress.

Text messages about your quote and order (for example, proof ready, payment received, ready for pickup) are sent by HD Laser Studio only if you separately check the “Text me order updates” box on our form. Employees who opt in on the staff portal receive shift and shop-coverage alerts on the same terms. That consent is not a condition of buying anything. Message frequency varies. Message and data rates may apply. Reply STOP to any text to cancel, or HELP for help. We never share your phone number or your text-message consent with third parties; texts come only from HD Laser Studio.

6. Privacy notice

This notice describes what HD Laser collects through hdlaser.net and in the course of an order, and how we use and share it. It is written to meet the California Online Privacy Protection Act and, to the extent they apply, the California Consumer Privacy Act as amended.

What we collect

• Contact and business details you give us: name, business name, email, phone, and mailing or shipping address.
• Order details: what you ordered, artwork and logos you provide, proofs, notes, and order history.
• Payment details are handled by our payment processor. We do not store full card numbers.
• Technical details collected automatically when you use our forms, such as IP address and browser type, by the form service that delivers your message to us.
• How you found us: the website that sent you here or the link you followed (for example, our Google listing or a flyer), and the page you first landed on. Your browser keeps this note for up to 90 days and sends it to us only with an order or quote request. We use it to learn which of our ads and listings work. It contains nothing that identifies you.

How we use it

• To prepare quotes and proofs, make and deliver your order, invoice you, and answer your questions.
• To send marketing communications as described in section 5.
• To create case studies and marketing materials as described in section 4.
• To run and protect our business, keep records, and comply with law.

Who we share it with

• Service providers who help us operate: form delivery (Formspree), email, payment processing, shipping, and accounting. They may use your information only to provide services to us.
• Marketing partners. We may share your name, business name, email, and phone number with a small number of partners whose products or services we think are useful to businesses like yours, so they can contact you. You can opt out of this sharing at any time by emailing contact@hdlaser.net with “Do not share” in the subject line.
• Legal and safety: when required by law, court order, or to protect our rights, customers, or the public.
• If HD Laser is sold or merged, customer information may transfer to the new owner under this same notice.

We do not sell your personal information for money.

Your choices and rights

• Unsubscribe from marketing email using the link in any message, or reply STOP to any marketing text.
• Opt out of sharing with marketing partners, or ask us to stop using your business in new marketing, by emailing contact@hdlaser.net.
• Ask what personal information we hold about you, ask us to correct it, or ask us to delete it (we may keep what we need for orders, taxes, and legal records). Email us and we will respond within 45 days. We will not treat you differently for exercising these rights.
• California residents may request, once a year, a list of the third parties to whom we disclosed personal information for their direct marketing in the prior year (Cal. Civ. Code §1798.83). Email us with “Shine the Light” in the subject line.

Financial account data (Plaid)

HD Laser uses Plaid to connect the company’s own bank and credit-card accounts to our bookkeeping and forecasting tools. Only the business owner can connect an account, and only accounts belonging to HD Laser or its owner are connected. Customers are never asked to link a bank account, and we never collect customer banking credentials.

• What Plaid provides us: account names and last four digits, balances, and transaction history (date, merchant, amount, category). We never see or store online-banking usernames or passwords; those are entered only on Plaid’s secure screens.
• Consent: before any account is connected, Plaid shows the account holder what will be shared and asks for their consent. Plaid’s handling of that data is described in the Plaid End User Privacy Policy.
• How we use it: to categorize income and expenses, reconcile deposits against sales, track cash, and forecast the business. We do not sell, share, or use this data for marketing.
• Where it lives: in our access-controlled owner dashboard, encrypted in transit and at rest, reachable only by the owner and staff the owner authorizes.
• Disconnecting: the account holder can disconnect an account at any time from our dashboard, which revokes our access at Plaid and deletes the access token, or through Plaid Portal.

Data retention and deletion

• Quote requests and order records (including contact details, artwork, and proofs) are kept for as long as needed for business, tax, and legal purposes, generally seven years from the last order, then deleted.
• Text-message consent records are kept for as long as you are opted in and four years after you opt out, as telemarketing rules require.
• Financial account data obtained through Plaid is kept for seven years to meet bookkeeping and tax requirements. Access tokens are deleted immediately when an account is disconnected.
• Deletion requests: email contact@hdlaser.net. We confirm receipt and complete deletion within 45 days, except for records we are legally required to keep, which we note in our reply.
• The owner reviews this retention schedule at least once a year and whenever a system, vendor, or the way we use data changes, as required by our Information Security Policy.

Other things you should know

• Our site does not respond to browser “Do Not Track” signals.
• Our site and services are for businesses and adults. We do not knowingly collect information from anyone under 16.
• We use reasonable safeguards to protect your information, but no method of transmission or storage is completely secure.
• If we change this notice, we will post the new version here with a new effective date. Material changes to how we use information already collected will be sent to the email on file.

7. Legal

These terms are governed by California law. Any dispute will be brought in the state or federal courts located in San Diego County, California, and you consent to that venue. If any part of these terms is found unenforceable, the rest still applies. These terms, your approved proof, and your invoice are the entire agreement for your order and replace any earlier discussions. We may update these terms; the version posted when you approve a proof or pay is the one that applies to that order.
